Citadel Media Group (“CMG”, “we”, “us”) provides paid marketing management and lead generation services to private dental clinics. This policy explains what personal information we collect through this website, how we use it, and the rights you have over it.

1. What information we collect

Information you give us. When you submit an enquiry form, book a discovery call, or contact us by email or phone, we collect the details you provide — typically your name, email address, phone number, clinic or business name, and anything you include in your message.

Information collected automatically. When you visit this site, we and our service providers collect technical data such as your IP address, device and browser type, pages viewed, and how you arrived at the site. This is collected through cookies and similar technologies (see section 4).

We do not intentionally collect any special category (sensitive) data through this website, and this site is not directed at children.

3. Who we share information with

We do not sell your personal information. We share it only with service providers who process it on our behalf:

  • Cloudflare, Inc. — hosts and serves this website (content delivery and security).
  • Calendly LLC — powers discovery-call booking; details you enter when booking are stored on its platform.
  • HighLevel Inc. (GoHighLevel) — provides our customer relationship system and landing pages; enquiry details are stored on its platform.
  • Google (Google Analytics, Google Ads) — site analytics and advertising measurement.
  • Meta Platforms (Meta Pixel) — advertising measurement, where you consent to advertising cookies.
  • Professional advisers (e.g. accountants) and authorities where required by law.

4. Cookies and tracking

This site uses cookies and similar technologies for essential site functions, analytics (Google Analytics), and advertising measurement (Google Ads, Meta Pixel). Non-essential cookies are only set with your consent, which you can give, refuse, or withdraw at any time through the cookie banner on this website.

5. International transfers

Some of our providers (including HighLevel, Google, Meta, Calendly, and Cloudflare) store or process data in the United States and other countries outside the UK. Where this happens, transfers are protected by recognised safeguards such as the UK–US Data Bridge (UK Extension to the EU–US Data Privacy Framework) or the UK International Data Transfer Agreement / standard contractual clauses.

6. How long we keep information

We keep enquiry details for as long as needed to handle your enquiry and for up to 24 months afterwards, client records for the duration of our engagement and for up to 6 years to meet legal and accounting obligations, and analytics data for the retention periods set in the relevant tools. We delete or anonymise information when it is no longer needed.

7. Your rights

Under UK data protection law you have the right to: access the personal data we hold about you; have inaccurate data corrected; have data erased; restrict or object to our processing (including direct marketing, which we will always stop on request); and receive a copy of data you provided in a portable format. You can also withdraw consent at any time where consent is our basis.

8. Complaints

If you are unhappy with how we have handled your data, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO): ico.org.uk / 0303 123 1113.
